Board Member Roles & Responsibilities

The HOA President is responsible for providing leadership and direction to the Lakeview Commons HOA Board of Directors, ensuring that the community’s needs are met while complying with all governing documents and legal regulations. The President acts as the primary representative of the HOA, promoting a sense of community, enforcing rules fairly, and fostering effective communication among homeowners, board members, and vendors.

Leadership and Oversight: Providing leadership to the board of directors and ensuring the association operates according to its governing documents and state laws.

  1. Meeting Management: Calling and presiding over board meetings and annual member meetings, maintaining order, and ensuring meetings follow proper procedures.
  2. Communication: Serving as the main point of contact between the board, homeowners, property management companies, and vendors. They also communicate board decisions and updates to the community.
  3. Enforcement of Rules: Ensuring that the HOA's rules, bylaws, and covenants are enforced fairly and consistently.
  4. Financial Oversight: Collaborating with the treasurer to review the HOA’s budget, financial reports, and expenses, ensuring financial stability and proper use of funds.
  5. Decision-Making: Leading discussions, guiding board decisions, and ensuring that actions taken are in the community’s best interest.
  6. Vendor and Contractor Management: Approving contracts and overseeing the performance of contractors and service providers working within the community.
  7. Conflict Resolution: Addressing and helping resolve disputes between homeowners, board members, or vendors.
  8. Strategic Planning: Setting long-term goals for the HOA, planning community improvements, and ensuring the community’s needs are met.
  9. Compliance: Ensuring the HOA adheres to local, state, and federal regulations that affect the community.


Support and Succession: Assists the President in leading the HOA and assumes presidential responsibilities when the President is absent.

  1. Committee Oversight: Acts as the board liaison for key committees, ensuring alignment with the HOA’s goals and timely progress reports.
  2. Community Compliance: Helps enforce community rules and regulations while ensuring compliance with local ordinances and state laws.
  3. Communication and Engagement: Maintains open communication with homeowners, vendors, and board members, promoting transparency and addressing community concerns.
  4. Project Leadership: Leads specific projects such as community events, property improvements, or special initiatives as assigned by the board.
  5. Board Participation: Attends board meetings, collaborates with other members, and votes on matters that impact Lakeview Commons.
  6. Emergency Decision-Making: Assists in making timely decisions during emergencies if the President is unavailable.


For Lakeview Commons HOA, the Architectural Control Committee (ACC) duties would include:

  1. Reviewing Applications: Evaluating homeowner requests for modifications or improvements, such as changes to landscaping, exterior structures, or fences, based on the community’s guidelines.
  2. Enforcing Guidelines: Ensuring that all homeowner projects comply with Lakeview Commons’ architectural guidelines, CC&Rs, and any specific community rules.
  3. Approvals/Denials: Granting or denying approval for proposed changes to properties based on adherence to the HOA’s standards and guidelines.
  4. Inspections: Conducting inspections of properties to ensure that modifications are completed in accordance with approved plans and that no unapproved changes have been made.
  5. Communication: Notifying homeowners about the status of their requests and offering guidance on the ACC approval process.
  6. Maintaining Records: Keeping detailed records of all submitted applications, decisions, and inspections for transparency and future reference within Lakeview Commons.


  1. Financial Management: Overseeing the HOA’s budget, including planning for maintenance, repairs, and other community expenses.
  2. Accounting: Maintaining accurate financial records for Lakeview Commons, including income from assessments and expenses related to the community.
  3. Financial Reports: Preparing and presenting monthly or quarterly financial reports to the board and providing updates during meetings.
  4. Assessments: Managing the collection of homeowner dues, fees, and any special assessments, ensuring timely payments and addressing any delinquencies.
  5. Banking: Overseeing HOA bank accounts, ensuring transactions are authorized per board policy, and managing the HOA’s cash flow.
  6. Tax Filing: Ensuring the HOA complies with tax regulations, including filing annual tax returns.
  7. Audit Preparation: Assisting with annual audits or reviews and ensuring the financial records are in order for external or internal review.


  1. Record-Keeping: Maintaining accurate records of all board and membership meetings, including attendance and decisions.
  2. Meeting Minutes: Preparing and distributing minutes for board meetings, annual meetings, and any special meetings.
  3. Correspondence: Handling official communication, such as responding to homeowner inquiries and communicating important updates.
  4. Document Maintenance: Ensuring governing documents, such as the CC&Rs, bylaws, and policies, are current and accessible to the board and homeowners.
  5. Notice Distribution: Sending out meeting notices, election ballots, and any other required HOA notifications to homeowners.
  6. Filing: Safely storing legal, financial, and other essential HOA documents in compliance with the HOA’s requirements.
  7. Legal Compliance: Ensuring the HOA is in compliance with state and local laws, including maintaining required records and filings.
